How to add the signature
Gmail: Settings → General → Signature → paste with Ctrl/Cmd+V. Outlook: Settings → Mail → Compose and reply → Email signature. Apple Mail: Preferences → Signatures. In all of them use "Copy signature" and paste directly: it keeps bold, colors and links.
Tip
Keep the signature simple: name, role, a couple of contacts and your website. A signature that is too long or full of heavy images risks ending up as an attachment or not loading. The generated code uses styles compatible with the major email clients.
Four lines are enough
An effective signature contains name, role, one contact and the website, and stops there. Everything else (full address, three phone numbers, four social networks, a motivational quote) lengthens the message without adding anything, and on a phone it pushes the real text below the screen.
The practical test is that a signature should not be longer than your average email: if you write three-line messages, a ten-line signature is bulkier than the content. In reply chains the signature repeats at every round, and at that point the nuisance multiplies.
Images in a signature are a problem
A logo inserted as an image is blocked by default by almost every mail program, which will not fetch remote images until told to: the recipient is left with an empty box and a cross, which is worse than no logo at all.
If the image is instead attached to the message, every email leaves with an attachment, and the thread fills with paperclips containing nothing. The compromise that works is plain text with at most one colour and one typeface, which looks the same everywhere.
The separator and the two formats
The technical convention of email is that a signature starts with two dashes and a space alone on a line: programs that recognise it show it in grey and leave it out of replies. It is a twenty-year-old detail that many clients still honour.
It is also worth remembering that a message travels in two versions, HTML and plain text, and some recipients see the second. A signature that relies on colours, tables and decorative fonts becomes a row of misaligned words there: it pays to look at how it appears with no formatting.
